ATS-Friendly Resume Format: The Complete 2026 Guide

An ATS-friendly resume format isn't about looking plain — it's about being machine-readable. File Type: DOCX or Text-Based PDF

Unless the job posting says otherwise, submit a .docx file or a text-based PDF. Both parse reliably in every modern system (Workday, Greenhouse, Lever, iCIMS). Avoid: .pages, .odt, image-based PDFs, and anything exported as a flattened graphic from Canva or Photoshop.

Layout Rules That Actually Matter

  • Single column only. Two-column layouts scramble reading order in older parsers — skills end up inside job descriptions.
  • No tables, no text boxes. Content inside them is frequently dropped entirely.
  • No headers or footers. Many parsers skip them; never put contact info there.
  • No photos, icons, logos, charts, or skill bars. They add parsing noise and (in the US/UK) bias risk.
  • Margins between 0.5 and 1 inch, standard line spacing. Cramped text increases OCR-style errors.
  • Length: 1 page for under 10 years of experience, 2 pages maximum otherwise.

Fonts and Text Formatting

Use one standard font throughout: Arial, Calibri, Helvetica, Georgia, or Garamond, at 10–12pt for body text and 14–16pt for your name. Bold and italics are safe. Avoid underlines (they get confused with links), ALL-CAPS body text, custom bullet glyphs (use plain • or -), and any decorative or script font.

Section Order and Standard Headings

Parsers map your content using section headings, so use the exact names systems are trained on. The proven order for most professionals:

  1. Contact Information — name, phone, email, city + country, LinkedIn URL. In the body, never the header.
  2. Summary — 2–3 lines packed with your title, years of experience, and top skills from the job description.
  3. Skills — a clean list of hard skills and tools, matching the posting's exact wording.
  4. Work Experience — reverse chronological. Job title on its own line, then company, location, dates.
  5. Education — degree, institution, graduation year.
  6. Certifications / Projects — optional sections, same plain formatting.

Heading names to use

'Summary', 'Skills', 'Work Experience', 'Education', 'Certifications', 'Projects'. Avoid creative alternatives like 'My Story', 'Superpowers', or 'Where I've Been'.

Dates and Job Titles: Formatting the Parser Reads

Many systems auto-calculate years of experience from your dates. Use one consistent format — 'March 2021 – Present' or '03/2021 – Present' — for every role. Keep the job title on the first line of each entry; recruiters search by title, and parsers weight it heavily.
